Acceptable Use Policy

This Acceptable Use Policy sets out the rules for using Careframe (“the Service”). By creating an account, accepting an invitation, or signing in, you agree to use the Service in line with this policy. If you are using Careframe on behalf of an organisation, you agree to it on that organisation’s behalf.
1. Who this applies to
This policy applies to everyone who accesses Careframe — directors, managers, staff, and anyone else invited into a workspace.
2. Using Careframe responsibly
You may use Careframe only for legitimate work relating to running and supporting your care setting — for example managing staff records, rotas, timesheets, compliance, and the day-to-day operation of your home(s). You agree to use the Service lawfully and in a way that respects the rights, safety, and privacy of others.
3. Things you must not do
- Break any law, or use Careframe to help anyone else do so.
- Access, or try to access, accounts, homes, or data you have not been given permission to see.
- Share your login details, or let someone else use your account.
- Upload anything harmful — viruses or malicious code — or attempt to disrupt, overload, or probe the Service.
- Copy, scrape, or extract data other than through features provided for that purpose.
- Upload content that is unlawful, discriminatory, harassing, or that you have no right to share.
- Attempt to reverse-engineer, resell, or pass off the Service as your own.
4. Your account and security
You are responsible for keeping your password safe and for activity that happens under your account. Choose a strong password, keep it private, and tell the person who manages your workspace straight away if you think someone else has accessed your account.
5. Protecting the people in your care
Careframe is used to handle sensitive information, including information about children and staff. You agree to handle this information lawfully and only for proper purposes connected to your role, in line with UK data-protection law and your organisation’s own safeguarding and confidentiality duties. Only access records you genuinely need for your work.
6. Content you add
You remain responsible for the information you put into Careframe and confirm you have the right to store and use it. You must keep it accurate and remove anything that should no longer be held.
7. If this policy is broken
If we believe this policy has been broken, we may suspend or remove access to protect the Service and the people who rely on it. Where it is reasonable to do so, we will let your organisation know.
8. Changes to this policy
We may update this policy from time to time. If we make a meaningful change, we will update the date above and, where appropriate, let you know within the Service.
