Moving to Careframe
Bring your young people's records with you.
Changing system shouldn't mean starting each child's record again. Careframe brings across each young person's details, their earlier records and their documents — and nothing goes live until the home's manager has checked it and released them, one young person at a time.
Three ways in, whatever you're moving from.
Every home's old system is different, so there is more than one way to bring the records across. All three end in the same place: drafts that only the manager doing the import can see, until they release each young person.

The full record pack one Careframe home makes when a young person moves on can be brought straight into the next home — details, history and documents — with every file checked against the pack's own list of fingerprints.
Our spreadsheet
Fill in our template: one row per young person, their earlier records if you have them, and their medicines. If your old system exports a spreadsheet of its own, you match its columns to ours on screen.
Documents only
Any system can print or save a child's file as PDFs. Add them against each young person and they're kept in their Documents as “Earlier records”. This works for every system from day one.
Checked before anything goes live.
Each young person is checked before they can be released: a missing arrival date, a date in the future, a keyworker who doesn't work here, a name already on the home's list. You fix what needs fixing, leave out anyone who shouldn't come across, and undo the whole import while it is still drafts.
Releasing a young person puts them in Young people with the date they really came to live here. They are not treated as a new arrival, so nothing meant for a new admission is raised.
Earlier records stay as they were written.
What was written in the old system arrives exactly as it was: its date, its words, and the name of whoever wrote it, marked Imported. It can't be edited, and it isn't counted as work done in Careframe. Earlier incidents, disclosures and similar records stay restricted by default.
Medicines are never started from an import. They arrive as a note, with a follow-up for the manager to set each one up from the prescription.
Your home uploads its own files.
The home uploads everything itself, straight into its own account, and the drafts are visible only to the manager who started the import. We never ask for children's files by email. If you'd like help, we'll join you on a screen share while you do it.
What this does not do
- Careframe does not connect to your old system or pull data from it. The home exports what it has and uploads it.
- A spreadsheet has to be matched to ours: records in a shape we can't read are listed as left out, never guessed at.
- Files are kept up to 20 MB each, in the types a child's record keeps: PDFs, images, and Word or Excel documents.
