Run the home

From application to staff file, without retyping a thing.

Careframe gives your company one apply link to put wherever you advertise. Every application lands in one inbox. A Director sends each applicant to the home that needs staff, the manager reviews them, and pressing Hire creates their staff file with the application and CV already on it.

One apply link for the whole company

You create the link once and put it on your website, job adverts and social media. It opens a "Careers at" page in your company's name. Candidates give their contact details, the role, whether they have the right to work in the UK, their experience, and a CV in PDF or Word if they have one. Nobody needs an account.

You can add up to ten questions of your own. Three come ready to edit or delete: employment history with any gaps explained, and two referees. Where you run more than one home, candidates can say which they would prefer.

  • Your words, your privacy notice

You write the welcome text and the consent line, and link your own privacy notice and contact address. Each applicant ticks it, and the exact wording they agreed to is kept with their application.

  • An acknowledgement in your name

Each applicant gets an email confirming you have their application, sent in your company's name.

  • Spam stays out

A bot check, a hidden trap field and a limit on repeat sending keep junk out of the inbox.

  • Open or closed

Turn applications on or off at any time, or generate a new link, which retires the old one.

Care recruitment applicant tracking in one inbox

Every application, from every source, lands in one list for the company. Each moves through New, Reviewing, Shortlisted, Sent to home and Hired, or ends as Declined or Withdrawn. Search by name, email or role, and filter by where each one stands.

A Director or company Admin sends each applicant to the home that needs staff. That home's manager is told, and sees only the applicants sent to their home. Notes on an applicant can be added but never edited or removed, each with who wrote it and when. If the same email address has applied before, the page says so and links the earlier applications.

Hire builds the staff file

When the manager is ready, Hire asks a few things: the job title, whether they have interviewed the person yet, their role, a start date, and whether their rota shifts should go onto a timesheet. Press Hire into the home and Careframe creates their staff file there, with the home's own checklist built straight away.

The CV is copied onto the file, and a one-page PDF of the application as it was sent is filed beside it, consent wording included. If the candidate answered "No" or "not sure" to the right to work, the answer is shown above the Hire button so nobody misses it.

From there the staff file takes over: the interview, identity and right-to-work checks, the background check (DBS in England and Wales, PVG in Scotland, AccessNI in Northern Ireland), references, the employment history check and the suitability decision — each item your home has set, chased and filed against the right person.

Safer recruitment software that keeps the trail

Everything that happens to an application is written to an audit log: the link created or changed, every status change, every move to a home, every hire, every note, and every time someone downloads a CV — who, and when. A manager sees their own home's log; a Director sees the company's. The log exports as a spreadsheet.

So how a person came to work at the home starts with their application and runs unbroken into their staff file.

Applicants' details, kept only as long as you say

You choose how long applications are kept, from one month to five years; the default is twelve. Each night, applications older than that which never led to a hire are deleted with their CVs, except shortlisted or sent-to-home candidates that someone has worked on in the last 90 days.

When a candidate asks to be removed, a Director or company Admin can erase their application and CV for good. A person who was hired is never erased from here — their record now lives in their staff file.

Who can see applicants

Directors and company Admins run the inbox. A home manager sees only the applicants sent to their home. Deputies, seniors and support workers start with no access, because a candidate's details are not part of the day-to-day running of the home.

Questions people ask

Can we put the apply link on our own website?

Yes. You get one standing link for your company that you can put on your website, in job adverts and on social media. The page carries your company's name, and the only mention of us is "Powered by Careframe".

Do candidates need a Careframe account to apply?

No. They fill in a short public form and attach a CV if they have one. They get an email confirming their application, sent in your company's name.

What happens when we hire someone?

Careframe creates their staff file at the home, with your home's checklist built straight away. The CV and a PDF of the application as it was sent are filed on it, so nothing is typed twice.

Does Careframe carry out the recruitment checks for us?

No. Careframe does not run DBS, PVG or AccessNI checks, take up references or decide who is safe to employ. It keeps the application, the trail and the staff file in one place, and shows what is still missing.

How long are applications kept?

As long as you set, from one month to five years, with twelve months as the default. Never-hired applications older than that are deleted each night, and a candidate's request to be removed can be answered by erasing their application.

What this does not do

  • There are no job adverts or separate vacancies. There is one standing link per company, and the role is written in by the candidate.
  • It does not schedule interviews, send offer letters or hold email conversations with candidates. The only email a candidate gets is the acknowledgement.
  • It does not run DBS, PVG or AccessNI checks and does not decide whether someone is safe to employ.
  • There are no per-home apply links or per-home settings; the company sends each applicant to a home.
